Job Purpose:
The Membership Manager is responsible for the overall direction and daily operations of Hagley’s Membership program. This position oversees membership marketing, fulfillment, donor acknowledgement, member benefits, and data reporting. The role emphasizes excellent guest service, recruitment and retention of members, and building strong collaborative relationships with colleagues across the institution. The Membership Manager plays key roles in supporting planning, communications, sales, and logistics for two member-centric events: Fireworks at Hagley (second and third Fridays in June) and the Golden Pheasants Game Dinner (one Saturday in mid-winter).
Specific Duties:
- Membership Program Management
- Manage and grow Hagley’s membership which currently stands at 2,000 active members.
- Oversee all aspects of Hagley Membership, including sales, renewals, retention, data monitoring, and KPI tracking.
- Work with Marketing and Design team to develop promotional and communications strategies for the membership program aligned with other Hagley initiatives.
- Ensure membership operations, processes, and communications are accurate, efficient, and aligned with organizational goals.
- Create custom reports for a variety of departments as needed.
- Work with the Volunteer Manager to recruit and manage volunteers to support membership program needs including mailing, promotion, and other activities.
- Provide training and support for frontline staff and volunteers assisting with membership sales and promotion in collaboration with the Visitor Services team.
- Event & Program Coordination
- In collaboration with team members from the Museum and Audience Engagement and other divisions, plan and manage membership benefits and recognition activities including member-only events, special programs, etc. as needed.
- Fireworks at Hagley: manage ticket sales processing, report generation and distribution, member communications, and will-call operations.
- Game Dinner: manage ticket sales and raffle/silent auction logistics.
- Support additional institutional events including Craft Fair and other programs as assigned.
- Financial & Data Oversight
- Create and monitor the annual Membership budget and Game Dinner budget.
- Collaborate with database (Altru) administrators to ensure accurate data entry, acknowledgement, and donor/membership record keeping.
- Create data-driven reports for tracking progress, identifying trends, and recommending strategies for growth.
- Work with the Business Office for regular financial reporting and reconciliation.
- Additional Responsibilities
- Assist Development division with donor stewardship and corporate partnership activities as needed.
- Perform other duties as assigned to support Hagley’s mission and development goals.
Minimum Experience and Required Skills:
- High School diploma/GED required; Bachelor’s degree in Fundraising Management, Communications, or related field preferred.
- 3 years’ experience in museum membership, fundraising, or similar institutional development operations.
- Working knowledge of Blackbaud/Altru preferred; experience with other donor/membership databases will be considered.
- Consistently provides excellent guest service and maintains strong professional relationships with internal and external stakeholders.
- High attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with ability to balance multiple priorities.
- Demonstrated ability to resolve problems with grace and diplomacy.
- Proven excellence in donor/member relations and customer service.
- Ability to work independently as well as in a collaborative team environment.
- Proficiency in Microsoft Office applications.
Working Conditions and Physical Requirements:
- Ability to talk, hear, and see.
- Ability to sit or stand for long periods of time, stoop, kneel, or crouch when moving materials or setting up displays.
- Must be able to lift and/or move up to 50 pounds occasionally.
- Sedentary, office environment majority of time; occasionally required to work outdoors during programs and events.
- Regular hours Monday–Friday, 8:30 a.m.– 4:30 p.m.
- Occasional weekends and evenings required for events, including both nights of Fireworks, Game Dinner, Craft Fair, and other assigned programs.
Compensation and Benefits:
This is a full-time, exempt position with a salary range of $50,000.00 - $55,000.00 commensurate with experience. Hagley offers a comprehensive benefits package including:
